Building Batch and Shelf-Life Traceability for Industrial Chemicals

Connect goods receipt, batch references, supporting documents and warehouse issues in one traceable record.
The same product name does not mean the same batch. Alongside the product code, procurement and warehouse teams should record batch references, relevant dates and received quantities.
Create a goods-receipt record
Capture the product code, batch number shown on the packaging, quantity and delivery date. Record manufacturing or expiry dates separately where provided. Do not guess missing or unreadable information.
Use product-specific documentation
Check shelf life and storage requirements against current technical documentation and the safety data sheet. Do not transfer the limits of one product to another. Conditions stated for unopened packaging should not automatically be applied to opened or damaged containers. Obtain written clarification from the manufacturer when necessary.
Match batch-specific documents
Where a certificate of analysis is required, compare its batch reference with the packaging. A general product data sheet is not the analysis result for the delivered batch. See our SDS, TDS and COA guide for the different document purposes.
Track outgoing quantities
Record which batch was issued to each project or use location. This creates a traceable link between receipt and use.
What belongs in the tracking register?
- Product code, batch number and supplier document reference
- Received quantity and unit of measurement
- Manufacturing and expiry dates stated on the label
- Storage location and records of condition checks
- Issue date, quantity and project or use location
- Open questions, review owner and release status
Keep uncertain products under review
Products with unclear labels, dates or storage histories should be flagged for review rather than automatically released. The record supports review; it does not establish technical suitability.
