How to Evaluate an Alternative Product for a Project

Compare requirements, evidence and differences in one register. Keep sample submission separate from approval for use.
A product that looks similar is not automatically suitable for a project. An alternative-product review should show how the proposed item addresses the current requirements.
Establish the reference

Compare requirements individually
List the characteristics defined by the project and identify the proposed product’s response to each one. Reference the supporting document or drawing. Mark missing information as pending rather than assuming compliance.
Build a simple comparison register
- Requirement and source document/revision
- Reference product description
- Proposed alternative and supporting document/page
- Differences or missing information
- Installation, accessory and delivery effects
- Review owner, decision and decision date
These fields form a working template, not a test result or certificate of conformity.
Make differences visible
A difference does not always mean rejection, but it may require review by the responsible project authority. Keep the supplier’s equivalence statement separate from project approval.
Review the wider impact
A substitution may affect accessories, connections, installation methods or delivery sequencing. Show these effects alongside the commercial comparison. Do not present unverified cost or time savings as confirmed outcomes.
Record the decision
